How to choose ERP software for a small business in Madurai

Billing app, Tally and a few spreadsheets work until stock, dues and GST stop agreeing. What to check before you pick ERP software for a Madurai business.
Most businesses in Madurai start the same way: a billing app or Tally on the counter PC, a notebook for credit customers, and an Excel sheet someone updates on Saturdays. Wholesale traders, textile and garment units, distributors, workshops in the industrial estates and retail shops all run like this for years, and it works, until the numbers stop agreeing with each other.
The stock sheet says forty cartons, the godown has thirty-one. A customer insists they paid last month. The accountant needs two days to get GSTR-1 ready because invoices live in three places. That is usually the moment people start looking for ERP software. This guide covers what to check before you choose one.
Start with the problem, not the feature list
Every ERP brochure lists a hundred modules. Ignore that for now and write down the three things that cost you the most time or money today. For a trader it is often credit and collections. For a shop it is billing speed and stock. For a small manufacturer it is purchase, raw material and what was actually used. Judge every product against those three problems first.
GST has to be built in, not added later
Ask to see a GST invoice being made. Products should carry HSN codes and GST rates, and the software should split tax into CGST and SGST for sales within Tamil Nadu and IGST for sales to other states, based on the place of supply, without anyone choosing it by hand. Check that GSTR-1 and GSTR-3B summaries come straight from the invoices you post.
If your turnover crosses the e-invoicing limit, or you move goods that need an e-way bill, ask how the software produces e-invoice and e-way bill data and how it reaches the government portal. Some products file directly, others produce a file you upload. Know which one you are buying.
Stock you can trust
If you keep goods in more than one place, the software must hold stock separately for each shop or godown and record transfers between them. Pharma, food and FMCG businesses need batch numbers and expiry dates, ideally with the earliest-expiring batch sold first. Electronics and appliance dealers need serial numbers so a warranty claim can be traced to the invoice it was sold on.
Billing that survives a bad connection
Internet drops and power cuts happen. If billing stops whenever the connection does, staff go back to writing paper bills and entering them later, and you are back to numbers that do not agree. Ask what happens to the billing screen when the internet goes off, and how bills made offline are synced afterwards without duplicate invoice numbers.
Credit, dues and collections
A lot of trade in Madurai runs on credit. Good ERP software matches each payment against the bills it settles, shows how much each customer owes and for how long, and prints a statement you can send on WhatsApp. If a product only shows a single running balance per customer, collections will stay a guessing game.
Who sets it up and who answers the phone
Software is half the job. Someone has to load your products, customers, suppliers and opening balances, and train the people at the counter and in accounts. Ask who does that, how long it takes, and who you call when something looks wrong at month end. A team in Tamil Nadu that understands how local businesses work makes that much easier.
Also ask who owns the data. You should be able to export your records at any time, and the vendor should tell you in writing where the data is hosted and how often it is backed up.
Questions to ask in a demo
Make a GST invoice for a customer in another state and show me the tax split. Transfer stock from one godown to another. Bill three items with the internet switched off. Record a part payment against two bills. Show me what the owner sees on a phone. Show me the trial balance after all of that. A good product handles each of these in a few minutes, on screen, without the demo person reaching for a spreadsheet.
Where Arkezo ERP fits
Arkezo ERP was built for exactly this kind of business: GST invoices with the tax split worked out automatically, e-invoice and e-way bill JSON, GSTR-1 and GSTR-3B sheets, stock by branch with batch, expiry and serial tracking, a POS screen that keeps billing offline, bill-wise payments with ageing, and full double-entry accounts. You can try it on sample data from the live demo on our ERP page, or book a demo and we will walk through it with your own scenarios.
